Getting Started with OneDrive & SharePoint

Your company files are moving from Google Drive to Microsoft 365. Follow this guide to set up OneDrive and get ready for the switch.

💻 First-Time Setup

  1. Find OneDrive — OneDrive is already installed on your computer. Look in your system tray (Windows, bottom-right near the clock) or menu bar (Mac, top-right) for a cloud icon. If you see a blue cloud, OneDrive is signed in and running — skip to step 4. If you see a grey cloud, OneDrive is installed but not signed in — go to step 2. If you don't see any cloud icon, search for "OneDrive" in the Start menu (Windows) or Spotlight (Mac) and open it. If it's not installed, download it here.
  2. Sign in — Click the grey cloud icon (or open OneDrive from the Start menu/Spotlight). A sign-in window will appear. Enter your @safesitellc.com email address and click Sign in, then enter your password. This is the same account you use for Outlook and Microsoft 365. If prompted to choose a folder location, the default is fine.
  3. Verify it's working — After signing in, the cloud icon should turn blue. Hover over it to see sync progress. The first sync may take a while depending on how many files you have. If the icon stays grey, try right-clicking it and choosing "Sign in".
  4. Shared drive shortcuts will appear — After the March 24 switchover, IT will add shortcuts to the shared drives you have access to. They'll show up as folders in your OneDrive (e.g., "Accounting", "Dispatch", "Admin").

📁 Accessing Shared Drive Files

  • Open File Explorer (Windows) or Finder (Mac) and look for your OneDrive folder in the sidebar.
  • Inside OneDrive you'll see shortcut folders for each shared drive you have access to — e.g., Accounting, Dispatch, or Admin.
  • These shortcuts link directly to SharePoint. Click into them and browse files like any other folder.
  • Files sync automatically. Open, edit, and save them exactly like normal local files.
  • Changes are saved to SharePoint and visible to your team in real time.
Cloud icons: Blue cloud = signed in. Grey cloud = not signed in. Green checkmark on files = synced. Red X = problem — right-click for details.
📥 Offline access: Right-click a file → "Always keep on this device" for use without internet.

All files from Google shared drives are being migrated to SharePoint. The folder structure stays the same — only the location changes. You'll access everything through OneDrive using shortcuts that IT will set up for you.

Each Google shared drive becomes a SharePoint document library. IT will create shortcuts in your OneDrive that point directly to the SharePoint libraries you have access to. They'll look and work just like regular folders.

Yes, temporarily. Google Drive will remain available in read-only mode for 2–4 weeks after the switchover. You can reference old files there, but all new work should go into SharePoint/OneDrive starting March 24.

Contact the IT helpdesk. Let them know which shared drive you need access to and they'll add the shortcut for you right away.

Desktop: Right-click the file in File Explorer and choose "Share". Type a colleague's name or email to send them a link.

Web: Select the file in OneDrive and click "Share" in the toolbar. Choose whether they can edit or just view.

Yes — set up OneDrive now. Follow the "First-Time Setup" steps above so you're ready to go on switchover day. Make sure you can sign in with your @safesitellc.com account and see the blue cloud icon in your system tray or menu bar.
